The good news first: your single-member LLC has no obligation to prepare a balance sheet in the US. No double-entry bookkeeping, no annual financial statements, no public filing of accounts, no accountant on retainer as a condition of existence. And now the news that comes with it: "no balance sheet" does not mean "no records". This article draws the honest line between what you must do and what is optional.
The must: three reasons your figures have to exist
Reason one: the IRS expects records. Even without a balance sheet requirement, US tax law requires you to document business transactions in a traceable way: income, expenses, receipts. There is no prescribed format, but if you are ever examined, it must be possible to reconstruct what happened.
Reason two: your Form 5472. Your LLC's annual filing captures the reportable transactions between you and the company: contributions, distributions, payments in both directions. Without ongoing records, a ten-minute filing turns into springtime archaeology, and penalties for incorrect filings start at 25,000 dollars. Form 5472 is the real pacemaker of your mini bookkeeping.
Reason three: your country of residence. Wherever your profits are taxed, that country's recordkeeping rules apply, and they range from "nothing" to "a proper income and expenditure account". For the popular zero-tax and territorial countries, the answer is often pleasantly short.
The optional: the minimal system that really is enough
For the typical service business or nomad LLC, a system built on four habits is enough. First, strict account separation: everything business through the LLC account, everything personal kept personal; the commingling rule is half your bookkeeping at the same time. Second, the monthly export: once a month, save your bank statement as CSV and PDF, five minutes, non-negotiable. Third, the receipts folder: incoming and outgoing invoices stored digitally in yearly and monthly folders, named to a pattern (2025-12-client-amount). Fourth, the distributions list: date, amount, running total, as groundwork for Form 5472. Keep these four habits and you have an audit-proof LLC in one hour a month, with no software subscription. Accounting tools make life easier once you have a sizeable volume of receipts; they are not a must.
When optional turns into must again
Honesty requires the opposite list too. You need proper accounting if your LLC elects to be taxed as a corporation (then corporate rules apply), if it develops activities that are taxable in the US (FBA substance questions, US operations), if your country of residence requires a real profit calculation, or if investors, banks or a planned sale want to see reliable figures. And one special case for the record: VAT registrations (for example OSS set-ups for EU B2C digital products) bring their own recordkeeping duties, regardless of anything American.
